From job candidates:

• Name, contact details, resume/CV, employment and education history

From client company representatives:

From employees placed under our Employer of Record service:

• Bank account details for payroll processing

We do not knowingly collect personal data from children, and our services are not directed at individuals under 18.

• Delivering HR management, EOR, payroll, and related contracted services

• Communicating with you about your application, engagement, or inquiry

• Responding to inquiries submitted through our website or live chat

• Complying with Philippine labor law, tax law, and other legal obligations

We process personal data on the basis of your consent, the necessity of processing to perform a contract with you, our legal obligations (including under the Labor Code and tax regulations), or our legitimate business interests, consistent with the Data Privacy Act.

• Client companies, where you are a candidate being submitted for a role, or where information is necessary to deliver contracted services

• Government agencies, including the SSS, PhilHealth, Pag-IBIG, and the Bureau of Internal Revenue, as required for statutory compliance

• Service providers who support our operations, such as our applicant tracking system, payroll and accounting systems, and cloud-based communication and support tools, under confidentiality obligations

• Legal or regulatory authorities, where required by law

Where we invoice or work with clients based outside the Philippines, limited data necessary to deliver the engagement may be transferred internationally; we take reasonable steps to ensure such data continues to receive appropriate protection.

5. Data Retention

We retain personal data only as long as necessary for the purposes described in this Policy, including:

• Candidate data, generally retained and tagged as Aleph-sourced for up to 12 months from introduction, consistent with our standard client agreements

• Employee records under EOR arrangements, retained in accordance with Philippine labor law and statutory record-keeping requirements

• Client and business records, retained in accordance with standard confidentiality and contractual obligations

6. Data Security

We apply reasonable organizational, physical, and technical safeguards to protect personal data against unauthorized access, alteration, disclosure, or destruction, consistent with the requirements of the Data Privacy Act. No method of transmission or storage is completely secure, and we encourage you to safeguard any account credentials associated with our services.

Under the Data Privacy Act of 2012, you have the right to:

• Be informed that your personal data will be, is being, or has been processed

• Access your personal data that we hold

• Object to the processing of your personal data

• Request correction of inaccurate or outdated personal data
